How to create an invoice with this generator

    1. Pick a template. All five templates use the same information, so you can switch at any point and nothing is lost.
    2. Add your business details. Your name or trading name, address and contact details. Upload a logo if you have one, and add your tax registration number if you’re registered for VAT, GST or sales tax.
    3. Add who you’re billing. The customer’s name, company and billing address. Many businesses also need their customer’s tax number on B2B invoices.
    4. Set the number, dates and currency. Each invoice needs a unique number. A due date tells your client exactly when payment is expected.
    5. List what you’re charging for. Each line has a quantity, unit price and tax rate. For hourly work, enter hours as the quantity.
    6. Apply discounts, charges and payments. Discounts reduce the taxable amount; shipping and other charges are added afterwards. Enter a deposit as “amount already paid” to show the balance due.
    7. Download or print. The PDF is created on your device. Keep a copy for your records — we don’t store invoices for you.

    How totals are calculated

Line amounts are quantity × unit price, rounded to the currency’s smallest unit. An invoice-level discount is shared across the lines in proportion to their value, so each tax rate is applied to the correct discounted amount. Additional charges are added after the discount and can carry their own tax rate. Tax is calculated per rate and shown as a separate line for each rate.

All arithmetic uses decimal numbers rather than floating-point, so amounts like 0.1 + 0.2 always total exactly 0.30. Check that the tax rates you enter are correct for your situation — the generator doesn’t look them up for you.

    Questions about the generator

Straight answers about how the generator works.

Is my invoice information uploaded to a server?

No. Editing, calculations and PDF creation all happen in your browser. An unfinished draft is saved only on your device (in browser storage) for up to 30 days so it survives a refresh, and you can turn this off or clear it at any time. We record cookie-free usage events such as “PDF downloaded” (with approximate country and device type), but never the contents of your invoice.

Can I download an invoice as a PDF?

Yes. Click “Download PDF” and an A4 PDF is created in your browser, named after the invoice number (for example Invoice-INV-0001.pdf). Long invoices continue onto extra pages with page numbers.

Can I add VAT or GST?

Yes. Each line item has its own tax percentage, and you can rename the tax to VAT, GST, sales tax or anything else. Different rates are totalled separately. Invoice discounts are applied before tax. You enter the rates yourself; the generator does not look up or verify tax rates.

    Can I customise invoice numbers?

Yes. A number such as INV-0001 is suggested and you can change it to any format. When you start a new invoice, the next number is suggested automatically (INV-0002, 2026-015 → 2026-016 and so on).

    Can I use different currencies?

Yes. Choose from more than 40 currencies and several number formats (for example 1,234.56 or 1.234,56). Amounts are rounded to each currency’s precision. The generator does not convert between currencies.

    Can I print my invoice?

Yes. Click “Print” to open your browser’s print dialog with just the invoice on A4 paper. Most browsers also offer “Save as PDF” there.

    Are the invoices legally compliant?

The templates include the details most invoices need, but invoicing and tax rules differ by country and industry. We can’t guarantee that an invoice meets every legal requirement, so please check your local rules or ask an accountant.
