Separate labour and materials
Customers question totals they can’t break down. Split the work into lines such as:
- Labour — 16 hours × hourly rate
- Materials — itemised, or one line per supplier invoice
- Equipment hire, waste disposal or call-out fee as additional charges
If materials and labour are taxed differently where you work, set the rate on each line and the invoice shows each tax total separately.
Deposits and staged payments
For jobs paid in stages, describe the stage clearly (“Stage 2: first fix complete”) and enter earlier payments under amount already paid. The balance due is calculated for you, so there’s no arguing over what’s outstanding.
Reference the job
Use the PO / reference field for the job number, site address or quote reference. It appears next to the invoice number, which helps both you and your customer match payments.
Sign off the work
Upload a photo of your signature and add your name. It’s placed at the end of the invoice above a signature line — useful when customers expect a signed document.
Before you send
- Check your trade licence or registration number is shown if your customers or local rules expect it.
- Make sure the tax rate on each line is correct for the type of work.
- Save the PDF with your job records — we don’t keep a copy.
Frequently asked questions
Straight answers about how the generator works.
How do I invoice a progress payment?
List the work completed for this stage, or the full contract with earlier payments entered as “Amount already paid”. The invoice shows the balance due for this claim.
Can labour and materials have different tax rates?
Yes. Every line has its own tax percentage, and each rate is totalled separately on the invoice.
Can I create an invoice on my phone?
Yes. The generator works on mobile with a step-by-step layout, a full-screen preview and a download button that’s always in reach.
Can I add my company logo?
Yes. Upload a PNG, JPG or WebP image up to 5 MB. The image is resized on your device and appears on both the preview and the PDF. SVG files are not accepted.
Are the invoices legally compliant?
The templates include the details most invoices need, but invoicing and tax rules differ by country and industry. We can’t guarantee that an invoice meets every legal requirement, so please check your local rules or ask an accountant.
